News impacting public employee union members

Several OAKS issues identified, resolved; Continue to email union with concerns

Jan. 30, 2007 (updated March 1, 2007)- A number of payroll issues have been identified from the processing of the first two payroll using OAKS. Union members should continue to pay close attention to their paychecks in the next few months, particularly their accruals, to make sure they are accurate.

The following issues have been addressed by OAKS and fixes were applied for this payday (Friday February 2, 2007) including:

  • Printer Friendly Pay Stub (new Feb. 1, 2007) - In response to employee feedback, the printing capability of the Online Earnings Statement has been enhanced with a "Printer Friendly" print option. Read on for instructions and full story   FULL STORY

  • The Combined Charity Campaign (CCC) Payroll Deductions (CCC/UTDWAY) for a few thousand employees were incorrectly deducted for the 1st two payroll checks from OAKS. The 2006 deductions were mistakenly carried forward into OAKS from the HR2K system. Secondly the 2007 contribution file was processed which caused some employees to be over withheld and others to contribute an incorrect amount. Employees have been corrected and where needed, refunds were processed. Should an employee wish additional changes to their CCC contributions, please directly update the employee payroll deduction amount into OAKS.
  • Several leave issues were identified and corrected. This includes incorrect carry over balances, employees being charged more than 80 hours of leave, vacation accrual issues during the payroll cycle where an employee progressed to the next vacation accrual level, old sick leave amount updated, personal leave payoff amount plus some issues with the display of leaves on the employee EPay record. No action is required from agencies.
  • The Hyatt Legal Services (SUPLGL) deduction is scheduled to be taken on the first payroll period ending date of each month. Due to a conversion issue, the deduction was missed on the PPE 1/6/2007 for all but nine employees. The makeup deduction was taken on the PPE 1/20/2007 to compensate. The deduction will be back to its normal first pay period cycle starting with the PPE 2/3/2007.
  • The new 2007 School District Income Tax (SDIT) rates and some updated municipal tax rates have been updated and will be reflected on payday, February 2.
  • Other individual agencies issues have been resolved and communicated back to those agencies.

If it is clear that members are being hurt by the change-over, leaders and stewards are encouraged to file a grievance. They should also let their staff representative know as soon as possible that an OAKS-related grievance has been filed.
